Managing Fund Folders and Documents
The following article provides details on how to manage documents and folders for GPs and Fund Administrators.
Managing Organization's Folders
When viewing the Organization, navigate to your Organization's Setting page by selecting the gear icon in the top right corner of the screen.
From here click on the Folder management menu item. You should see the following screen.
You can add a new folder by clicking the 'Add Folder' button, you can also manage and delete or "archive" existing folders by clicking on the ellipses menu for each folder and selecting the corresponding option. This organizational view will allow you to remove stock folders, and create your own that will be pre-populated into any new funds you decide to pursue.
Creating Folders
When viewing a Fund, navigate to your Fund's Settings page by clicking on the gear icon in the top right corner of the screen. From here, click on the Folder Management menu item. You will see the following screen:
You can add a new folder by clicking the 'Add Folder' button, you can also manage and archive existing folders by clicking on the ellipses menu for each folder and selecting the corresponding option.
Managing Sharing Settings for Folders
From this same settings page, you can share folders with investors. Just click on the toggle on the right.
Documents moved to a shared folder will be visible to investors. When unsharing a folder, the documents contained therein will NOT be archived, they will be moved to the top-level documents view.
Managing Documents
Once you've set up your folders and shared the ones you want, you can navigate back to your Fund's Documents view and start managing documents.
As you can see in the screenshot below, the folders you created will show up. In addition, you can drill down into each investor's documents by clicking on "Investors" or view All Shared Documents. This view contains all documents that are shared with individual investors or with all investors. Additionally, you can see all the documents that are in the top-level view of your documents.
Moving/Sharing Documents
Back in your fund documents view, select the documents you want to move or share and click the "Move/Share" option in the upper right menu.
Shared Folders special properties
When you have designated a folder as 'Shared with Investors' you will notice that the folder icon changes color to a lighter blue and includes a person:
In your Funds > Documents view, these folders now have special properties. When you open these folders, as well as the "All Shared Documents View" you will notice two tabs: one called 'Shared', the other called 'Investor Owned'.
You can stop sharing folders from the Settings view. The documents in those folders will NOT be archived, but instead moved to the top level. Documents that are investor-owned (as described below) will continue to be visible to those investors.
Shared Tab
The 'Shared' tab contains documents that are visible to ALL investors in your fund. You can control whether these documents can be viewed or viewed and downloaded by clicking on the drop-down to the right.
Investor-Owned Tab
The 'Investor Owned' tab contains documents that you have assigned to specific investors. Documents assigned to specific investors are "owned" by those investors. They can view and download the documents when they log in.
Investor View
The screenshot below shows what an investor sees when you share documents via the two methods mentioned above. This investor owns the 'new doc.pdf' document and can view and download it. The other document, 'lorem ipsum.pdf' has been shared with all investors in the shared 'Tax Documents' folder and can only be viewed by investors.
